We’re currently looking for an Office Administrator/EA/Office Manager to join our team in Dubai. This role would report to the Co Founders.
Responsibilities:
Executive Support (for Co Founders):
• Manage and coordinate executive calendars, appointments, and meetings.
• Prepare agendas, take meeting minutes, and follow up on action items.
• Assist with travel arrangements
• Assist with the preparation of presentations, reports, and other documents.
Office & Facilities Admin Support:
• Manage and prioritize daily administrative tasks, including scheduling, correspondence, and document management.
• Maintain an organized and efficient filing system for important documents and records.
• Order office supplies and equipment as needed, ensuring a well-equipped and functional office.
• Oversee office maintenance, including repairs, cleaning, and security.
• Manage relationships with vendors and service providers to ensure smooth office operations.
• Ensure a safe and comfortable working environment for all employees.
• Manage office budgets and expenses, tracking and reporting on expenditures.
• Process invoices and expenses in a timely and accurate manner.
• Collaborate with the finance department to ensure compliance with financial policies and procedures.
Skills
• Proven experience (3+ years) in an executive assistant or administrative management role.
• Would ideally be proficient with Arabic (reading & writing)
• Exceptional organizational and time-management skills.
• Proficient in Microsoft Office Suite and other relevant software.
• Strong written and verbal communication skills.
• Ability to handle confidential information with discretion.
• Problem-solving and decision-making abilities.
• A proactive and detail-oriented approach to work.
• Strong interpersonal skills and the ability to work collaboratively with diverse teams.
