About the role
As an Administrative Staff member for a life coaching practice, your role is essential in ensuring the smooth operation of the coaching business.
You will work closely with the life coach or coaching team to provide administrative support and maintain efficient office procedures.
Your responsibilities may include:
Client Communication: Managing client inquiries via phone, email, or in-person meetings.
Scheduling coaching sessions and maintaining the appointment calendar.
Sending appointment reminders to clients.
Administrative Duties:
Handling paperwork, such as intake forms and coaching agreements.
Organizing and maintaining client records, ensuring confidentiality.
Managing billing and invoicing for coaching services.
Tracking payments and following up on outstanding invoices.
Managing office supplies and maintaining an organized workspace.
Client Support:
Serving as a liaison between the clients and the life coach.
Providing information about coaching services, fees, and policies.
Assisting clients with any administrative or logistical concerns.
Keeping track of client progress and updating coaching notes as needed.
Marketing Assistance:
Collaborating with the coach on marketing efforts, such as social media updates or email campaigns.
Maintaining the coaching practice's website and online profiles.
Collecting and organizing testimonials from satisfied clients.
Event Coordination:
Assisting in the planning and organization of workshops, seminars, or coaching events.
Handling event registration and logistics.
Confidentiality and Ethics:
Adhering to ethical guidelines related to client confidentiality and data protection.
Upholding the highest standards of professionalism and integrity.
Skills
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal skills.Proficiency in office software (e.g., Microsoft Office, Google Workspace).
• Basic knowledge of billing and bookkeeping practices.
• Familiarity with online scheduling tools.
